Salary:

The current salary range for the Administrative Assistant position is $45,000-$75,000 annually.

Description:

Under the direction of the Chief Operating Officer or senior staff, the Administrative Assistant provides a wide variety of general and administrative coordination and support to one or more professional staff members and in support of the CSAC Foundation, Institute and other initiatives as required.

Distinguishing Characteristics:

The Administrative Assistant is distinguished from the Legislative Assistant by support provided to the non-legislative units.

Duties:

  • Support the daily operations of the Foundation.
  • Coordinate and schedule meetings and appointments.
  • Arrange travel and process travel forms, travel claims, and expense management documentation.
  • Organize and maintain organizations records and files, and recommends operating practices and procedures to create new or to revise existing methods.
  • Prepare and distribute meeting notes, agendas, memoranda, reports, and other correspondence.  
  • Conduct basic research and marketing reports.
  • Prepare and maintain various files and documents including weekly class registration reports, credential management, and class evaluation.
  • Assist in coordination and administration of all CSAC Institute contracts for classes, facilities, shipping, and meeting logistics. 
  • Attend CSAC conferences and support classes and other events to generate member interest for Foundation initiatives.
  • Gather requested information and respond to requests from members or other organizations.
  • Assist to maintain and update the Foundation websites. 
  • Conduct and summarize post-class evaluations, and maintain a database of all course evaluation summaries.
  • Assist in preparing weekly newsletters.
  • Performs duties as assigned.
  • Support the Foundation Board, including scheduling, preparing for meetings, and taking minutes.

Knowledge Required:

  • Logistics management of multiple site programs and meeting locations;
  • Association Management Software system event management; 
  • Business correspondence and report writing;
  • Principles and practices of customer service;
  • Basic budget, accounting, and math principles;
  • Modern office procedures, rules and practices, including excellent usage of computer skills and ability. 
  • Knowledge and use of Microsoft Office Suite, Outlook, Teams, Zoom, and related software is essential;
  • Filing methods and systems; and
  • Basic online communication networking tools such as Survey Monkey, MailChimp, and Constant Contact.

Skills Required:

  • Organize and accomplish work with a high degree of independence and initiative;
  • Ability to prioritize and complete work assignments under pressure to meet deadlines;
  • Ability to establish and maintain effective working relationships with internal staff, county staff, corporate representatives and other clients of CSAC;
  • Communicate effectively; speak English at a level necessary to communicate information clearly;
  • Strong attention to detail, including when proofreading and coordinating schedules, meetings and other events; and,
  • Ability to problem solve and devise potential solutions to assist with the delivery of CSAC Institute training programs.

Physical Requirement:

Sedentary Work: should be able to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.  Sedentary work involves sitting most of the time.  Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Minimum Requirement:

Associates Degree or three years of increasingly responsible administrative duties; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
